SAP SuccessFactors and Workday can act as authoritative workforce platforms, but the wider business depends on how accurately worker lifecycle changes reach downstream systems.
Start with source-of-truth decisions
Document which platform owns worker identity, manager, organisation, position, location and employment status. If legacy systems can still edit those values independently, integration will not solve the governance problem.
Map lifecycle events
New hires, transfers, promotions, manager changes, leave, contingent-worker changes and terminations should each trigger defined downstream outcomes. Think in business events rather than a nightly dump of fields.
Design stable identifiers
Use consistent worker and organisational identifiers wherever possible. Names and email addresses change; stable keys reduce duplicate accounts and make reconciliation more reliable.
Choose an integration pattern
Integration may use APIs, middleware, vendor integration frameworks, SFTP or scheduled extracts. Select the pattern around required timeliness, error handling, security and support capability.
Connect safety systems
Safety platforms may use manager and hierarchy data for incident review, permissions, notifications and reporting. Validate what happens when a worker changes manager or business unit mid-process.
Connect the LMS
LMS assignments often depend on role, position, location or business unit. Design rules for starters, transfers and leavers, and keep completion history intact when employment data changes.
Reporting and history
Power BI reporting may need both current-state workforce data and historical organisational context. Define whether a past incident should report against the worker's current department or the department at event date.
Monitor and reconcile
Create exception reporting for rejected values, unmapped organisations, duplicate workers and record-count variance. Integration ownership should include operational monitoring, not just technical build.
