Power Automate can remove repetitive administration around safety systems, SharePoint and reporting. The best opportunities are predictable, rules-based tasks where the source data and expected outcome are clear.

Approvals and review workflows

Use automation to route forms, documents or records to the right reviewer based on site, department, contractor, risk category or request type. Keep the approval decision in a system where it can be audited rather than relying on unstructured email.

Document expiry reminders

Licences, insurances, procedures and contractor documents can trigger reminder sequences before expiry. Define who owns renewal, when escalation starts and what happens after the expiry date.

Corrective-action notifications

Scheduled flows can identify overdue or due-soon actions and send targeted reminders or summary digests. Avoid sending repeated individual emails where a single useful digest will create better action.

Contractor onboarding

Power Automate can help move data between SharePoint, contractor registers, APIs and email processes. Use controlled matching rules so a worker or company is not accidentally created twice.

File-based integration

Where an external platform produces CSV or Excel exports, automation can rename, validate, move or replace files for downstream Power BI refresh. Build checks for missing files, unexpected names and schema changes.

API calls

Power Automate can call REST APIs where authentication and connector capability allow it. Log responses, capture failures and create a retry or exception process rather than assuming every request succeeds.

Scheduled reporting

Automation can prepare source files, send exception summaries or trigger processes around recurring reporting. The flow should make failures visible so a missed run does not silently produce stale information.

Use SharePoint carefully

SharePoint is useful for structured lists and documents, but performance and delegation limits matter. Design lists, indexes and triggers around the expected data volume and avoid flows that fire unnecessarily on every update.

Govern credentials and ownership

Production flows should not depend on one person's account without a support plan. Document connections, owners, environment, failure notifications and change control.

Know when to use the core platform instead

If HSI Donesafe, HRIS or LMS already provides a reliable native workflow, use that capability where practical. Power Automate is most valuable for connecting gaps between systems or automating work outside the core application.
