An LMS and HRIS integration should remove manual learner administration and keep training requirements aligned with workforce changes. Poor integration simply moves bad data faster.
Define the HRIS as the workforce source
Agree which system owns employee identity, manager, role, position, department, location and employment status. The LMS should normally consume those values rather than independently maintain them.
Map new-hire behaviour
Define when a new learner is created, what username or SSO identity is used and which role-based learning is assigned. Consider pre-start training if workers need access before their employment start date.
Handle transfers and role changes
A transfer may require new training while preserving completed learning from the previous role. Assignment rules should add required learning without unnecessarily removing historical evidence.
Handle leavers correctly
Termination should deactivate access at the right time while preserving completion records for audit and historical reporting. Define how rehires are matched to existing learner history.
Use stable identifiers
Email is convenient but can change. Where possible, use a persistent workforce identifier to match HRIS and LMS records and reduce duplicate learners.
Connect managers and hierarchy
Manager and organisational hierarchy data can drive approval, compliance views and reporting. Test manager changes and matrix structures so permissions remain accurate.
Automate role-based assignments
Position, role, site or department can trigger learning pathways. Keep the assignment logic documented and test edge cases such as temporary assignments and multiple roles.
Integrate SSO thoughtfully
Single sign-on improves user experience, but SSO does not replace the learner lifecycle feed. Authentication and workforce provisioning solve different problems and should be designed together.
Reconcile the interface
Monitor active-learner totals, failed updates, duplicate accounts, unmapped roles and assignment exceptions. An integration needs operational ownership after go-live.
Reporting across HRIS and LMS
