Workflow optimisation is not about removing control. It is about removing unnecessary work so users can complete the right steps consistently.

Start with where users lose time

Review the points where users abandon forms, ask for help, repeat information or maintain a workaround. These are usually better indicators of a design problem than the number of fields on a form.

Reduce fields that do not drive a decision

Every field should support a business decision, control, evidence requirement or reporting output. Where a question only applies sometimes, use conditional logic instead of asking everyone.

Make review stages explicit

Users should understand what happens after submission, who owns the review and what moves the record forward. Avoid hidden hand-offs that depend on administrators knowing the process from memory.

Review notifications as a system

Map all notifications by trigger, recipient and purpose. Remove duplicates, consolidate messages where possible and make escalation meaningful. Notification fatigue can undermine even a well-designed workflow.

Existing customers often discover that a field they want to remove is feeding a dashboard or KPI. Trace reporting dependencies before changing classifications, statuses or dates.

Test optimisation with real users

Use a small set of realistic scenarios and compare the old and proposed process. Measure clicks, time, decision points and required evidence. The goal is a simpler experience without losing governance.

Good optimisation usually feels boring: fewer unnecessary questions, clearer ownership, fewer notifications and cleaner reporting.
